Sending RSVP invitations

RSVP enables you to send invitations and collect attendance confirmations. When invitations are sent, the corresponding number of tickets is reserved. If an invitee accepts the invitation, they receive a ticket. If they decline or don’t respond by the due date, the tickets are released back for sale.

Sending invitations

You can find the invitation-sending option under the “Orders & tickets” menu of your event:

When sending invitations, you can:

  • Set a response deadline.

  • Send invitations to up to 500 email addresses at once, and in multiple batches if needed.

  • Write your own invitation text and email subject line. The number of tickets allocated to the recipient and the response deadline are included automatically.

You can send both free and paid ticket types as invitations:

  • For free tickets, the ticket is sent to the recipient once they confirm their attendance. Later, they can cancel their participation from their personal order page.

  • For paid tickets, the invitation automatically includes information about the price. After accepting the invitation, the recipient is directed to the payment page.

Response deadline and invitation expiration

All invitations for a single event share the same response deadline. Recipients can respond until 23:59 on the specified date.

If you send invitations in multiple batches and change the response deadline later, the new deadline will also apply to invitations that were sent earlier.

When the deadline passes:

  • All unanswered invitations are automatically cancelled, and recipients can no longer respond. No notification is sent to the invitees about this.

  • The corresponding number of tickets is released from reservation and returned to sale.

Invitation overview

After sending your first invitations, a new “RSVP” tab will appear on the “Orders & tickets” page. This view includes:

  • The list of all invitees.

  • The status of each invitation.

  • Search, filtering, and data download options

Reminders and resending

You can send reminders to invitees who haven’t responded yet from the RSVP page or via the “Emails” tool.

Individual invitations can also be resent from the specific order’s detail view – for example, if the recipient’s email address has been changed or corrected.

Limitations

Sending invitations is currently unavailable for events with a seating plan.

Invitees cannot fill out a registration form if one has been set up for the event.
